# Candidate Communication — Automatic Emails for a Job

> Choose which emails a job sends candidates automatically: application confirmation, interview invites and reminders, rejection emails, and the AI interview disclosure.

> **Who is this for?** Users with the **Organisation Administrator** and **Recruiter** roles.

Each job decides which emails it sends candidates automatically. Open the job and choose **Job Settings** from the **Job Navigation** menu on the left. Changes are saved automatically, and on a live job they apply to new candidate activity immediately.

## Email Settings

These are the emails the job sends candidates automatically. Under each setting, **Default** means you haven't changed it, and **Customized for this job** means you have. On a live job, a banner at the top reminds you that changes apply to new candidate activity immediately.

Job Settings — Candidate Communication

| Setting | What it does |
| - | - |
| **Application received confirmation** | Sends candidates a confirmation email as soon as they apply. On by default. |
| **Auto interview invite** | Off by default: recruiters send AI interview invites themselves. When on, the invite is sent the moment a candidate reaches one of the job's AI interview stages (for example **Screening Interview** or **Coding Interview**), with no manual step. Only available when the workflow has an AI interview stage. |
| **Interview invite email** | The email candidates receive when they're invited to an AI round, whether the invite is sent automatically or by a recruiter (see below). |
| **Interview invite reminders** | Sends up to 3 reminders before an AI interview invite expires. The invite itself is always sent. |
| **Automatic rejection emails** | Off by default: rejecting a candidate sends nothing unless the recruiter ticks the box at the time. When on, choose a **Default delay** (see below) and click **Edit rejection template** to change the message. |
| **AI interview disclosure** | Marked **Required**. Tells candidates they'll interact with AI. It's always on, and can't be turned off, while the job's workflow includes an AI interview ("Required — set by your job's AI workflow"). |

## Interview Invite Email

By default, one email is used for every AI round, shown as **Hello Recruiter default invite · Sent for all *N* AI rounds**. Click **Edit email** to change it.

To use a different email for some rounds, tick **Use a different email for some rounds**. Each AI round is listed with its interviewer (for example **Screening Interview · Aria**). Rounds marked **Uses the main email** use the default; click **Customize** next to a round to give it its own email.

## Rejection Email Delay

With **Automatic rejection emails** on, pick a **Default delay**: **Send now**, **1 hour**, **2 hours**, **4 hours**, **8 hours**, **1 day**, or **2 days**. For anything else, enter a **Custom** number and choose the unit. The delay is stored in hours, so **2 days** is 48.

> A delay on rejection emails avoids sending a rejection seconds after someone applies, which can feel abrupt to candidates.

Changes are saved automatically. A **Saved** message confirms each change.
