# Ashby Integration — AI Interviews with Full Write-Back to Ashby
> Connect Ashby to Hello Recruiter to trigger AI interviews from your pipeline and sync back scores, scorecards, notes, and full PDF reports.
**Who is this for?** Users with the **Administrator** role on **Enterprise** plans. Setup is coordinated with your account manager — no engineering work required on your side.
Connect Ashby once, and Hello Recruiter runs AI interviews as a natural part of your pipeline. Candidates are interviewed the moment they reach the right stage, and our deepest write-back lands everything — scores, scorecards, notes, and the full report — right on the Ashby profile your team already works in.
## What You Get
* **Automatic job import & AI interview setup** — your open Ashby jobs sync into Hello Recruiter automatically. Job descriptions are parsed, and evaluation criteria and interview questions are generated for each role, so every job is interview-ready without manual setup.
* **Real-time candidate sync** — new applications, candidate updates, and stage changes flow in via webhooks the moment they happen, with incremental sync keeping everything consistent.
* **Stage-triggered interviews** — move a candidate to your chosen stage in Ashby and they receive an AI interview invite automatically. No exports, no copy-pasting emails.
* **Scores on the assessment** — the overall fit score and a typed per-skill breakdown appear on the candidate's assessment in Ashby, with status updating from started to complete on its own.
* **A structured scorecard** — Hello Recruiter submits real Ashby feedback on the application, including an overall recommendation, so AI interview results sit alongside your team's own evaluations.
* **A rich summary note** — a formatted note with the score, summary, skill highlights, and a clickable link to the full report is added to the candidate's feed.
* **The full report as a PDF** — the complete interview report is uploaded to the candidate's profile, so the evidence lives in Ashby permanently.
* **Interview plan mirroring (optional)** — mirror your Ashby interview stages and keep candidate positions in sync as they move through your pipeline (one-way, Ashby → Hello Recruiter).
## How It Works
Your Ashby admin creates an API key with the permissions we specify and shares it through the secure channel we provide. Most permissions are read-only — write access is limited to candidate notes, feedback, and file uploads.
Open jobs are imported and set up for AI interviews, and your candidate pipeline stays in sync in real time as applications arrive and candidates move between stages.
When a candidate reaches your chosen trigger stage, they receive an invite and complete a live AI interview on their own schedule.
Within minutes of the interview ending, the score and skill breakdown land on the assessment, a scorecard is submitted on the application, a summary note with the report link is added to the feed, and the full PDF report is attached to the candidate.

## Setting Up
Ashby integration is available on Enterprise plans. Reach out to your account manager or email **[support@hellorecruiter.ai](mailto:support@hellorecruiter.ai)** to enable it for your Ashby account.
In Ashby, go to **Admin** → **API Keys** and create a key with the permission set we provide — read access to jobs, candidates, interviews, and hiring process metadata, plus write access to candidates for notes, feedback, and file uploads.
Register webhooks in Ashby for candidate and application events using the endpoint URL and secret token we provide — we walk you through this during onboarding.
Tell us which interview stage should trigger AI interviews, and every candidate who reaches it gets invited automatically.
**Keep working in Ashby.** Because the scorecard, note, and PDF report all land on the Ashby record, your hiring team can run their entire review inside Ashby — the full Hello Recruiter report is one click away whenever they want to go deeper.
## Security & Data Handling
* **Least-privilege access** — the API key uses the minimum permission set; write access covers only notes, feedback, and file uploads.
* **Encrypted at rest** — API keys and webhook secrets are encrypted before storage and never logged.
* **Verified webhooks** — every webhook delivery is verified with an HMAC signature before it's processed; unsigned or tampered payloads are rejected.
* **Tenant isolation** — all synced data is scoped to your organization and never shared across accounts.
* **Limited retention** — raw webhook payloads are automatically purged after a retention window.
